Counterparty Import Tool

The  Counterparty Import tool allows users to quickly import large quantities of new companies into the system. It is an ideal way of importing your Customers, Suppliers, and Vendors if you have a large volume of data to enter. This can make adding a large quantity of companies into the system, a breeze!

Finding the Counterparty Upload Tool

  1. Navigate to the Counterparties tab.
  2. Go to Tasks > Import Counterparties.

How to Add / Fill-in Information

The Counterparty Import tool has exportable file, in which you can use to fill out information and reupload. All information can also be entered directly into the online spreadsheet provided by cieTrade.

In-Template Method:

To export an empty template directly from the system, navigate to the Counterparty Upload tool and check off Empty Template in the left hand corner.  This will allow you to download an Excel file from the system and import new counterparties.  Select Download Data to get a copy of the spreadsheet.

Once the spreadsheet is filled out, click Browse to open the file in cieTrade.  The new details can be imported by choosing Import Data in the right hand corner.

In-cieTrade Method:

In order for the spreadsheet to appear within cieTrade, an empty template must be uploaded using a similar process as listed above.  

1) Navigate to the Counterparty Upload tool and check off Empty Template in the left hand corner.

NOTE:  If you are updating existing Counterparties then do NOT check off Empty Template.  Instead, go directly to click on the Download Data button, or use the Counterparty filters to export data for specific businesses.

2) Select Download Data to get a copy of the spreadsheet.

3) Choose Browse... to open the empty spreadsheet in the import tool.

Each column represents a data point on the Counterparty form. Each row represents a company. Add the company information into the available and applicable fields within the spreadsheet. Once all of the company information has been added, click the Import Data button to bring it into the system.

Once this template is imported into the system, these contacts will sit on the Contact Manager as well as the front page of any Counterparty associated.

NOTE: Each company (and address) has only one main contact. If you need to add more contacts with the same address, please add them in the Contact Manager. We have a helpfile detailing the steps, which can be found here.

Flagged Cells & Common Issues

Upon uploading the spreadsheet, you may run into a problem where a handful or more data cells are flagged, which will prevent the upload from being completed. The most common cause of a flagged cell is due to an issue with the information in the cell, or the format that it is in. After the validation check, which occurs upon clicking the  Import Data button, a comment will be added to any flagged cell detailing the reason why it was flagged.

NOTE: If you are using iOS MAC and you are adding additional Customers/Suppliers/Vendors to your cieTrade.net, please make sure you have your Show Scroll Bars set up on Always. You can do this by going to your General Settings or clicking the short cut Apple icon, then click on Systems Preferences, click on the short cut general icon, next to the arrows then click on General > Show Scroll Bars and set to Always

Conclusion

Once the system accepts the file, the new counterparties established on the spreadsheet, will become live in the system. You will receive a confirmation banner letting you know if the upload was a success.
