How to use the Equipment Tracking Tool

Equipment Tracking is an easy way to track individual pieces of equipment that you have, update their location (home/onsite) via dispatch tickets, and bring the material into inventory.

Setup:

To start, make sure the Equipment Tracking tool is enabled. Our helpfile detailing the setup process can be found here.

Information:

The Equipment > Inquiry is where you will create and manage the individual pieces of equipment that you are tracking.

Additional Functions:

  • Delete Equipment
  • Set Location

Both the ability to set the location and delete the piece of equipment appear when hovering over the line item on the Equipment Manager inquiry.

NOTE: You can use a dispatch ticket to move the piece of equipment from one location to another automatically.

Workflow:

Before beginning, ensure you have a created a  tracked piece of equipment.

  1. The first step will be to create a Dispatch Ticket to capture the movement of the equipment. Go to Dispatch > + New Dispatch, or use the quick created button ( + ) to create a new dispatch ticket.
  2. Create the dispatch ticket and fill in the information as you would normally. For more details on creating dispatch tickets, see our helpfile here.
  3. The #RETURN and #OUT fields are exclusively for Equipment Tracking. These fields are flexible in how you use them. Depending on the situation, one of the two fields can be utilized, or both. #RETURN is for equipment that is coming back to your facility. #OUT is for equipment that is leaving your facility. The four most common situations are:
    1. SWAP - You are making an equipment 'swap', replacing one piece of equipment for another. In this case, both fields will be utilized.
    2. EMPTY - You are servicing a piece of equipment that is already at the location and it will remain at the location after your service. In this case, both fields will be utilized but the equipment number will be the same for both fields.
    3. RETURN - A piece of equipment is being returned to your facility with no other actions occurring. This will result in only the #RETURN being used.
    4. OUT - A piece of equipment is being sent to the counterparty's location with no other actions occurring. This will result in only the #OUT being used.

NOTE: The Account and Location must be entered before you can search for the returning or outgoing piece of equipment.

Once the Dispatch Job has been placed in COMPLETED status, the equipment's location will update and will be reflected on the Equipment Manager inquiry.

NOTE: You can leverage the Equipment Manager inquiry for your reporting needs regarding the equipment.
