Invoice Manager

The Invoice Manager shows all of the outstanding invoices for a given time frame, and gives you the ability to email the invoice document with a click of a button. In addition, the ability to group and ungroup invoices can be found on this page as well.

On the inquiry, you have the ability to filter by Date, Customer, Department, Report Type and Grouped Status.

How to Group Invoices

The Invoice Manager comes equipped with a handful of filters. We recommend using these filters to refine the results that are returned to make the group of invoices you're looking for easier to find. Please keep in mind: you can only group invoices that are 1) for the same customer and 2) are for the same department.

To group invoices:

  1. Navigate to the Invoice Manager (Accounting > Invoice Manager).
  2. Use the filters to narrow down your search.
  3. Select the invoices that you would like to group.
  4. Once all of the invoices are selected, click the Group Invoices button at the top of the page.
  5. A popup will then appear. Enter the Invoice Date and Payment Terms for the new grouped invoice.
  6. Once finished, click Create. At this point, the grouped invoice is created.

NOTE: You can check the box for "Print Preview" when you're creating the the group invoice, and upon saving it, the document for the group invoice will open in a new tab. For more information about Group Invoicing, see our helpfile here.

You're done! To see invoices that have already been grouped, you can either look at the "Group Invoice" column on the Invoice Manager, or you can type in a group invoice number into the search bar (at the top of the screen). 

How to Ungroup Invoices

Individual invoices can be removed from a group invoice or the group invoice can be deleted all together.

Remove Invoice

  1. From the Invoice Manager, navigate to the invoice you would like to remove.
  2. Select the invoice by checking the box next to it.
  3. Once the invoice(s) are selected, click the "Remove" button at the top of the screen.

You're done! Once the invoice is removed from the group, you will receive a confirmation message alerting you of the change.

Remove Group Invoice

The process for removing a grouped invoice is similar to the previous steps. Simply find the group invoice, select all of the invoices that make it up, and click "Remove". This will result in the group invoice being deleted.

Email Templates

Email templates for the Invoice Manager work a little bit differently than the rest of the system. In order to use email templates with this module, the template(s) will need to be setup and designated exclusively for the invoice manager.

Page / Item Count

Users now have the ability to define the number of rows (which translates to invoices) each page has. This can be done by changing the Page View option at the bottom of the page. Additionally, there is a running total at the top of the screen that correlates to the number of invoices that are selected.
