How to show Customer Prepayments on an Invoice

There may be times when a customer partially or fully prepays an invoices and requests an invoice that reflects the prepayment.  This is often referred to as an Advance Payment or a Prepaid.   

This can be handled with either of the methods below:

1.  Open the Worksheet that you wish to apply the prepayment to.  Navigate to the Expense section of the worksheet and enter a negative expense in the “Chargeback” section.  The description should be “Advance Payment” or “Prepaid.” 


2.  You can then remove this “expense” after printing the invoice and prior to changing the worksheet status to “Invoiced”.  


3. You will then apply the unapplied cash to the balance of the invoice after the worksheet is invoiced status.  Go to Unapplied Cash  and + New Unapplied Cash.  

OR

If you do not want to remove the expense from the worksheet, follow the procedure below:

1.  Receive the deposit from the customer.

Go to Unapplied Cash  and + New Unapplied Cash

You do this with a New Unapplied Cash receipt. This will record the deposit from the customer.

2.  Confirm that the customer is also set up as a supplier.  This can be done by going to Counterparties and also checking the Supplier box.  

3.  Open the worksheet(s) that you wish to apply the prepayment to.  Open the Expenses section and  enter a negative expense and negative charge to customer for the amount of the deposit. The example below assumes a $2500 deposit/prepay”. This will reduce the total invoice amount by $2500.


4.   In the Expenses tab of the worksheet, or the AP Ledger, select the customer and post the negative supplier bill, using the “Post to AR” feature.  This will convert the negative bill into a receivable.


5. You can now receive the Unapplied Cash against this invoice by going to Unapplied Cash  and + New Unapplied Cash.  


6.  The customer invoice will reflect the prepayment, and the cash receipt is also recorded in the system.
