Recurring Invoice

cieTrade.net provides a quick way of duplicating monthly or quarterly recurring charges, such as hauling or rental fees, with the Recurring Invoice feature.

Please note that this feature does not automatically create the invoices. Instead, it is a time-saving tool that allows to you bulk copy Worksheets and moves them forward to the next month or quarter to generate invoices from. 

The set up:

1) Create a base worksheet that will be the first instance of this monthly charge by clicking ' +New Brokerage Worksheet' on the Brokerage Tab.

2) It is recommended that you select a Trade Type for the specific type of Expense (i.e. Equipment Rental, Hauling Fee, etc) or for the frequency (ie Monthly). You can set these up under Settings> Common Information> Trade Types.

3) Choose a Customer and enter 'Other' for the Supplier. In this case, your company is the Supplier. 

4) Enter the expense that you will be charging the Customer in the Chargeback field on the Expense portion of the worksheet.

5) Save the Worksheet in ' Invoiced' Status. 

Now that your base worksheet is created, you can set this charge up as a Recurring Invoice:

1) Go to Accounting> Recurring Invoices> + New Recurring Invoice.

2) Select a Counterparty. This should match the Customer on the Worksheet you just created.

3) You can either type in the Worksheet number or click on ' Lookup' to find the base worksheet you just created with the monthly fee. The appropriate fields should populate for Department, Trade Type, Payment Terms, and Sales Rep

4) Choose your Billing Cycle and the # of Repeats you want this to continue for. If you want this to continue without an end date, check 'Never Ends'. For instance, if you have a 6-month contract with this Customer, then you would enter 6 for the # Of Repeats.

Please Note: this will not automatically create 6 instances of this charge. It will simply count them within the system and mark which reiteration of the charge it is on the Invoice itself:

5) The Start Date will automatically default to the first of the next month. If you have chosen to enter a # of Repeats, the Ends on Date field will also populate. 

6) The Last Invoice Date references the last date that you created a recurrence of this charge. For now it will display (None). 

7) The Next Invoice Date will match the Start Date field. 

8) Click Save

Once it comes time to invoice your monthly Customers, go to Accounting> Recurring Invoices> Copy Recurring Invoices

1) Select the Billing Period for Monthly or Quarterly. 

2) You can select to filter by Department or Trade-Type to narrow down the Worksheets that you want to create. 

3) You can select to Set Default Status of the Worksheet. This is dependent on your approval status or individual workflow. 

4) Set the new Worksheet User. Choosing 'Use Prior User' will copy the original Worksheet owner. 

5) Click Start

You will be redirected to the Brokerage inquiry tab, with a history of all the Recurring Invoices in your system. The red lines denote newly created Worksheets. You can now click 'Edit Worksheet' on the newly created worksheets, set their status to 'Invoiced', and print or email the Customer's invoice.
