Reason Codes

Reason Codes allow your team to record the specific reason why changes were made to a counterparty, service record, or bill sheet. With this setting enabled, users will be required to select a reason for the change from a drop-down list upon saving.

Turn On and Define Reason Codes

Turn On

  1. Navigate to your Settings > Preferences > System Options.
  2. Enable the setting Use Reason Code Workflow.

Define Reasons

Once enabled:

  1. Navigate to Settings > Common Information > Reason Codes.
  2. Click + Add New to define a new reason code.
  3. (Optional) Check the box for Show On Inquiry.
  4. Once finished, click Save Settings.

Note: if 'Show on Inquiry' is checked, then the last selected reason code will show on the inquiry screen.

How to Use Reason Codes

Once the setting has been enabled and the the codes defined, you are ready to start using the feature. Upon saving a Counterparty, Service Record, or Bill Sheet, users will be prompted with a popup where they can record and/or explain what changes were made.

Additional Information

Reason Codes are captured within the activity log. To see a note a user left, navigate to More Actions > View Log.
