Returning Partial UAC to a Customer

cieTrade now supports the returning of the remaining amount of unapplied cash.

1. To Record Customer Prepayments (receipt of UAC)

Go to Accounting > Unapplied Cash

Select + New Unapplied Cash

  1. Enter the customer making the prepayment
  2. Enter the bank account where the funds will be deposited
  3. Enter the payment detail (check number, wire, etc.)
  4. Enter the date of the deposit
  5. Enter the deposit amount

This will now show on the Unapplied Cash Ledger as a received payment.

This will also create a Journal Entry in the accounting system:

  • Debit - Checking (cash)
  • Credit - UAC

2. Apply unapplied cash to a customer invoice

Go to  Accounting > Receipts Ledger

Select + New Receipt

  1. Enter the customer you will be applying cash to
  2. Change Payment Mode to Unapplied Cash. A drop down list will show a list of unapplied cash amount available to apply for this customer
  3. Enter the amount to apply to customer invoice

Once posted, the Unapplied Cash Ledger will update with the new available balance.

This will also create a Journal Entry in the accounting system:

  • Debit - UAC
  • Credit - AR cieTrade

3. Undo receipt of UAC

Go to Accounting > UAC

  1. Search by Customer
  2. Select batch number with partially applied UAC
  3. Undo unapplied cash

This will create a Journal Entry in the accounting system:

  • Debit - UAC
  • Credit - Checking (cash)

UAC is now removed from the UAC Ledger.

4. Undo application of UAC

Go to Accounting > Receipts Ledger

  1. Search by Customer
  2. Select Batch No. with the partially applied UAC amount
  3. Undo Batch

This will create a Journal Entry in the accounting system:

  • Debit - AR cieTrade
  • Credit - UAC

The UAC is now completely removed from the UAC Ledger & Receipts Ledger.

The only post showing is the undo of the application in the Receipts Ledger.
