Guide to User Defined Fields

User Defined Fields are custom fields that users can setup that will allow information to be recorded when there is not a field currently available (for the given data).

Each User Defined Field is limited to its designated module within cieTrade. UDFs cannot be used between modules. For example, a UDF setup for Purchase Orders, will only appear on Purchase Orders, the inquiry screen, and related reports. A Converting UDF will only appear on Converting jobs, and so on. You currently have the option of enabling User Defined Fields for:

Worksheets = Brokerage, Receiving, and Shipping worksheets
Product Details = Purchase & Sales Orders, Receiving, Shipping and Converting specifications
Sales Orders = Sales Orders only
Purchase Orders = Purchase Orders only
Counterparty = Counterparties only
Booking = Bookings only
Billing Sheet = Billing Sheets only
Service Record = Service records only
Converting = Converting jobs only

To locate your User Defined Fields, go to Settings > Preferences > User Defined Fields.

The default list of User Defined Fields will look similar to the screenshot below.

By default, the field name will be "User Defined" and the number of the UDF. Once you begin using the UDFs, to remove the UDF from appearing within the module, the field name must be restored to the original name (which will be "User Defined #"). Field values may remain within the UDF.

To edit a User Defined Field, you can click the icon next to the UDF.

From here, you can specify the Field Name.

To add values to the UDF, enter the data into the Field Value field, and select the SAVE icon.

Once saved, the value will be added to the list.

User Defined Fields allow for two types of input methods. If "Only DropDown List" is checked, then users will only be allowed to select a field value that is currently stored in this UDF. If left unchecked, this will turn to a typable field, and users will not be restricted to what they enter.

The Product Detail UDFs are special. They are used to record product specifications. If you need to record more than 6 specifications (at one time), then you will need to use Product Detail 4. Currently, the maximum number of specs you can record is 10. There is an additional step that is required in order to use this UDF. All product detail UDF's must be tied to a Packaging Type in order to be used in the system. As with all of our product specifications, a packaging type must be selected in order for them to appear. The same is with our user defined specs. The Product Detail UDF you are using must be tied to a packaging type in order to used. This assignment can me done within Settings > Common Information > Package Type > then set the "Propery Set".
